Summary of Role

To set up and maintain procedures and practices to achieve effective work flow and efficient administrative systems. To provide comprehensive administration support, maintenance and control of the customer database system (simbase). Assisting the Export Department fully in regard to export sales, documents, collation, archiving the documentation and keeping all data bases up to date

You should be fluent in English with Russian or Polish skills (written and verbal and have at least 2 years + experience in Customer Service or Administration in an Exports environment.

Responsibilities

  • Responsible for all administration and order processing.
  • Promptly liaising with overseas clients regarding the export and customs documentation.
  • Create, maintain and update all company spreadsheets accurately and in a timely manner.
  • Process export orders, ensuring paperwork is completed correctly.
  • Monitoring necessary paperwork and authorising franchisee payments.
  • Organising and preparing reports to a tight deadline.
  • Assisting the Exports department in relation to ordering, production and delivery of reports and researching customs and laws in relation to Eu laws, providing coverage on some other Export tasks.
  • Using Sage Accounts 50 – Set up sales orders and create sales invoices for all export customers. Post and allocate all customer sales receipts.
  • Produce monthly statements of account for all exports customers, and respond to any customer enquiries on sales ledger balances.
  • Produce weekly and monthly reports on sales ledger exports customers as required.

Requirements and Key Skills

  • Fluent in English with Russian or Polish skills (written and verbal)
  • 2 years + experience in Customer Service or Administration in an Exports environment.
  • Full working knowledge of Exports/Imports
  • Excellent communication and interpersonal skills
  • Experience in Sage ‘Line’ 50 is vital.
  • A pro-active team player who will offer the Exports department support and be able to liaise with other departments.
  • Able to work under a minimum supervision within a fast-paced environment.
  • Fully computer literate, with at least intermediate working knowledge of Excel and word packages.
  • Accuracy and attention to detail with good written and spoken English – able to handle all internal and external correspondence in a professional manner.
